Managed Conference Services

 

A Turn-key Conference Service solutionwhereby LodgeNet installs a wired and wireless network that is capable of supporting the full scope of meeting room packages (i.e. Wireless web café), Managed Services is a complete suite of services designed to optimize your time and efforts.

 

Conference Support Services

 

  • MarketingLodgeNet will conduct area research to determine competitive-set pricing.  LodgeNet will work with the hotel to establish rates and options.  LodgeNet will provide sales brochures for the hotel’s Conference Sales staff
  • Sales  LodgeNet will allocate, up to 8 hours each month, time and resources, to the support HSIA sales to the Conference areas including; sales directly to groups, support to the Hotel’s Conference Sales Staff, and RFP response development (travel is not included)
  • Pre-Conference CouncilLodgeNet provides all Pre-Conference council, via phone support, to the Hotel’s staff and/or directly to the Group
  • Remote Support Services – All remotely delivered services (e.g. static IP addresses, VLANs, local area network, working with Hotel’s staff, dedicated support, etc.)
  • On-site Support ServicesLodgeNet will provide up to 8 hours of onsite Support each month (included in monthly fees- travel not included).  Unused hours cannot be carried over to subsequent months.
  • Rentals – Free equipment rental for special events
  • ReportsLodgeNet to provide access to its Conference Services Reporting, via online, to track hours and services delivered by LodgeNet.

 

Account Services

  • Proactive sales interaction from LodgeNet Conference Service Manager with Hotel’s sales staff and group contacts.
  • Educate the hotel sales team on capabilities, features, and benefits of the LodgeNet system.
  • Provide on-site training and educational materials developed to aid the Hotel staff in the initial introduction of LodgeNet Conference Services. 
  • LodgeNet participation in pre-conference events to assure communications and expectations are clearly defined and understood between the Hotel staff, the client, and LodgeNet.
  • Function as an extension of the Hotel’s sales and technical services. LodgeNet Specialist(s) will contact the client directly in advance to evaluate requirements for the planned event upon request. 
  • LodgeNet Conference Service Specialist(s) on-site event support by request with 72-hour advance notice (additional charge $750 /day).
  • Active network monitoring of all aspects of Conference events remotely from the LodgeNet Network Operations Center.
  • LodgeNet Conference Service Manager can be available to address all aspects of network/communications services offered by LodgeNet to the customer.
  • Direct assistance with incoming group’s technology requirements and equipment needs, whether in the Conference area or guest rooms.  
  • LodgeNet will provide assistance setting retail pricing to the customer (SRP) and generate work orders for all conference event fees posted to folios and master accounts.  Retail pricing will be determined through local market analysis and historical pricing to maintain competitiveness.
  • All rental equipment will be made available on a per-event basis with 48-hour prior notice.
